Return to Work Guidance for Bioventus
Our number one priority through this pandemic continues to be keeping our employees safe while meeting the demands of our customers. Our field sales organization is preparing this week to return to physician’s offices in areas opening for business, and we expect to see our sales volume increase over time as well as the demands of our customers. Our office-based employees currently working remotely have managed well in a remote environment, and at the appropriate time, we look forward to seeing one another again in our offices.
As we make decisions regarding the return to our offices, the requirements placed by each city, county, state and country will vary and change many times. Today we provide guidelines in making decisions to return to our office locations.
Current guidance regarding our Bioventus office approach:
- Ensuring employees work safely as they return to our offices or field-based locations is critical and our first priority.
- ELT members will meet with each of their direct reports and ask them to meet with their office-based teams to determine if employees are available to return to work in their office location. In these meetings, Executives will share the following information as well as how they will make decisions regarding employee’s ability to return to their office environment.
- Managers and employees have access to a Return to Work “RTW” Guide posted on the Bionet COVID-19 Resource Page. This guide was designed to facilitate conversations regarding a return to work in a Bioventus office and include the following items:
-
- Determining if the employee has any underlying health conditions affecting their ability to return to work or has a family member in their household with any underlying health condition. We will ask these employees not to work in the office at this time.
- Determining if the employee needs to address any child or elder care issues requiring flexibility and may need to work at home to manage these situations. These employees would not be ready to return to the office environment at this time or to return in a limited capacity.
- Based on the current volume of work, can the employee continue to work effectively and efficiently in a remote environment? If so, they should continue working remotely for a longer period.
- If the employee is struggling to be effective in their role by working remotely, the employee or manager may request the employee return to the office to increase productivity.
- If the employee is working effectively in a remote environment and believes, their performance is better in an office they may be considered for returning to the office.
- Here are a few additional items covered in the Return to Work Guide: guidance on daily health checks, restricted access, safety guidelines including social distancing and personal protective equipment, cleaning practices, meeting spaces and returning to work after symptoms of the coronavirus.
-
- All employees requesting to return to a Bioventus office must abide by local government requirements and Bioventus office requirements. Some of the Bioventus office requirements include wearing masks in public/open spaces, daily health screening acknowledgments via Workday, maintaining social distancing and limited use of public spaces such as breakrooms. The specific requirements for office locations are detailed in the Return to Work Guide.
- Keep in mind that we have items to resolve around the globe for our office-based employees including employees in our Hoofddorp office who have the additional complexity of dealing with public transportation. At every location, we are working with our property managers regarding the use of shared spaces with other tenants including restrooms and elevators. We expect to have those resolved and updated in the RTW guide shortly.
- After meeting with all employees, each Manager will provide their Executive/Senior Functional Site Leader with a list of employees available to return to their office location. This should be revisited with employees every two weeks after of their respective Bioventus office opens.
- Each ELT member/Site Leader reviews their list of potentially available employees to determine if returning to the office is business critical and would provide value at this time to the overall business and/or customers in the current environment or provide a significant benefit to the employee. If the answer is yes, this name along with any other employees meeting the criteria provided are shared with Human Resources.
- Human Resources reviews this list with the Facilities Manager by location to determine if these employees can be accommodated safely within occupancy guidelines. Those employees that can be accommodated are contacted regarding their return to the office date, which will be at least five working days in advance of their first day in a Bioventus office. IT will review the list of employees to determine if any on-site support needs as well.
- Day One in the office and each day thereafter employees are required to certify they are healthy to work in an office location. At this time, we don’t know the length of time this personal certification will be required.
- As local governments progress through their phases of opening, we will slowly increase the capacity of each site and the number of employees allowed to return to our offices. At this time, we can’t predict a timeline for these changes and safety will come first.
- Managers should follow the timeline noted for evaluating employees available for work in Bioventus offices:
-
- 5/15-Managers complete employee meetings
- 5/18-Managers send list of available employees to Executive/Functional Site Leader
- 5/20-Executives/Functional Site Leaders send list of available employees to HR
- 5/25-Employees notified if they are allowed to return to their office location
- 6/1 Cordova and Durham sites available for limited occupancy/number of employees
- Date to be confirmed for our International locations
These are the current guidelines we will follow for our offices and we expect these will change throughout the process. As previously stated, we expect a full return to offices will take an extended period of time and more guidance will be provided as circumstances and events warrant. Any changes to these criteria will be made to the Return to Work Guide on the Bionet COVID Resource Page.
As we close out our current guidance, we share a question many employees have asked as well as our response. “Do we have plans to work from home in some roles on a permanent basis or expand telecommuting? “
We have learned many things through this crisis regarding working more effectively and efficiently and many we would never have tried without the current pandemic. We will need time to assess how these work when our sales revenue returns to budgeted growth. Our long term goal-determine if we can meet the demands of our customers, continue to have a highly engaged team that collaborates and can be efficient and effective while potentially reducing our overall footprint by having more opportunities for remote working.
With that said, please continue to stay focused on being safe and healthy while we take care of our customers and continue to be flexible as we adjust to our new world.
